Custom Bag Specification Checklist

A complete procurement checklist used by buyers at Fortune 500 retailers and event agencies. Save hours of back-and-forth with your supplier.

How to use this checklist: Print it or share it with your procurement team. Completing every section before contacting a factory will cut your quote turnaround time in half and reduce miscommunication by up to 70%.

1. Material Selection

  • Define end-use scenario (retail, events, corporate gifts, grocery)
  • Choose base material: cotton canvas, organic cotton, non-woven PP, or polyester
  • Specify GSM or fabric weight (120–400 GSM depending on load requirements)
  • Confirm certification needs: GOTS, OEKO-TEX, FSC, or recycled content
  • Request fabric swatches for tactile approval before production

2. Print Method & Artwork

  • Match print method to design complexity: screen print (1–4 colors), heat transfer (full color), or embroidery (premium texture)
  • Provide vector artwork in AI, EPS, or PDF format with outlined fonts
  • Specify Pantone codes for brand color accuracy
  • Define maximum print area and placement (front, back, gusset, handle)
  • Request a digital proof and a physical pre-production sample

3. Sizing & Construction

  • Confirm bag dimensions: width × height × depth (gusset)
  • Specify handle type and length: short handles, long shoulder straps, or cross-body
  • Choose closure: open top, magnetic snap, zipper, or drawstring
  • Add functional details: inner pockets, reinforced bottom, key clip
  • Verify weight capacity and stitch strength for intended load

4. Order Logistics

  • Confirm MOQ and negotiate tiered pricing for volume breaks
  • Agree on Incoterms: EXW, FOB, CIF, or DDP
  • Request production timeline with milestone checkpoints
  • Define QC standard: AQL 1.0, 2.5, or 4.0
  • Clarify packaging: individual polybag, carton specs, and palletization

5. Supplier Vetting

  • Verify factory audits: BSCI, Sedex, or ISO 9001 certification
  • Request references from clients in your region or industry
  • Evaluate sample quality, communication speed, and English fluency
  • Confirm payment terms and trade assurance options
  • Review intellectual property protections and NDA willingness
