The unit prices look comparable, but the delivered pouches can differ in hand feel, opacity, retail presentation, filling speed, and customer experience.

For coffee roasters, the pouch often functions as branded secondary packaging. It may hold sealed whole bean bags, drip sachets, filters, spoons, brushes, coupons, or seasonal gift items. If the pouch is too thin, too small, off-center, musty, or hard to close, the problem is visible to customers and inconvenient for the warehouse or co-packer.

The practical goal is to convert subjective words into measurable buying terms. Instead of requesting “premium natural cotton bags,” define fabric GSM, construction, finished size, usable height, channel depth, cord material, print method, placement tolerance, seam finishing, odor limits, carton packing, and final inspection criteria. Start with the coffee program, not the pouch catalog

The best pouch specification starts with what goes inside. A low-cost event pouch does not need the same fabric weight as a reusable holiday gift pouch. A drip bag sampler needs predictable capacity and a mouth that closes cleanly. A brewing accessory pouch may need stronger seams and repeated drawstring function. A retail shelf item needs cleaner print placement because it may be photographed, displayed, handled, and gifted.

Before asking for quotes, document the contents, filling process, sales channel, and expected consumer use. Test the pouch with the actual stack of drip bags, the real accessory box, the insert card, and any barcode label or leaflet that changes thickness. A pouch can look correct when empty but fail once filled.

Food proximity should also be discussed early. Many cotton pouches hold only sealed coffee packs or packaged accessories, but coffee is aroma-sensitive. Fabric specification: GSM, construction, color, and tolerance

As typical starting points to confirm with the supplier, 140-170 GSM cotton may suit giveaways or sample inserts, 200-230 GSM can work for many sampler and loyalty programs, and 230-280 GSM cotton canvas often gives stronger presentation for gift and reusable pouches. Heavier canvas around 300 GSM or above can be appropriate for accessories, but it must be tested for seam bulk and closure smoothness.

The word “canvas” is not enough. Ask for construction, target GSM, tolerance, color, finish, and whether the fabric is natural, bleached, dyed, recycled blend, organic cotton, or another material. A written tolerance such as ±5% or ±7% is more useful than a descriptive phrase like “thick cotton.” Keep an approved swatch and compare production against it.

Natural cotton may show slubs, seed specks, and shade variation. That can be acceptable for a rustic coffee brand, but it still needs boundaries. Dyed cotton gives more color control but may require lab dips and can introduce dye-lot variation. For dark fabric, test logo opacity and ink coverage early because light ink may need a heavier deposit, which can change hand feel and cost.

Usable height is especially important for coffee kits. A pouch that is 200 mm tall may provide much less practical capacity once the channel and top closure area are considered. Quote comparison is unreliable unless every supplier prices the same specification. One quote may include lightweight cotton, single drawstring, loose bulk packing, and no sample costs. Procurement teams should compare landed value, not only ex-works unit price. Heavier fabric can increase freight and reduce units per carton. Acceptance depends on both counts and severity.
