If the order is lower-cost promotional stock, ±10 mm may be acceptable, but it still needs to be agreed. This one line gives the factory, brand team, and inspector the same target.

There is also a brand tone to consider. A very large logo placed low can make the tote feel like a mass giveaway. A smaller front mark, subtle back print, or woven side label can feel more like specialty retail merchandise. Neither approach is automatically right. The right placement depends on selling price, display method, contents, reorder plans, and how visibly the roaster wants customers to carry the brand.

Construction should follow what the tote will carry. A flat tote is clean, simple, and efficient. It may be fine for one bag of coffee, papers, or light retail add-ons. If the tote needs to hold several 250 g or 12 oz coffee bags, brew gear, cups, or a gift set, an 80-120 mm gusset is usually more practical. The tradeoff is visual: once the gusset opens, the lower front panel curves and the logo can appear lower than it did on a flat table.

Your spec sheet should therefore use finished measurements. Ask for finished width, finished height, gusset depth, top hem depth, handle width, handle total length, finished handle drop, and reinforcement type. Include tolerances. Sewn cotton goods will vary; the issue is not eliminating all variation, but defining what range is acceptable before fabric is cut and printed.

On a common 380-420 mm high tote, many buyers start by placing the top of the logo roughly 80-120 mm below the top hem. That range is a starting point, not a universal rule. Horizontal centering needs the same discipline. If the tote has side seams and no side gusset, the reference can be finished side seam to finished side seam. Always review lower placements on a filled sample, not just on a flat pre-production photo.

Secondary branding is useful when the tote should feel less promotional. A small back print, hem mark, or woven side label around 30-60 mm wide can support a quieter retail look. These details still need to be quoted and inspected. A woven label may have its own MOQ, color approval, sewing position, and lead time. Treat every branding location as a separate specification, not as a casual add-on.

  • For front-center logos, specify distance from top hem to top of artwork and the horizontal center reference.
  • Keep the logo at least 40-60 mm from side seams unless the design intentionally uses edge placement.

4. Match print method to cotton base, artwork detail, and order volume

Screen printing is usually the practical workhorse for coffee roaster totes with one- or two-color logos. It suits bold wordmarks, icons, line art, and simple collaboration graphics. It is also easier to compare across quotes when the buyer states the print size, color count, location, and Pantone or approved color reference. A one-color 160 mm logo is not the same commercial or technical job as a two-color 260 mm graphic.

Fine detail deserves early attention. Cotton texture can soften edges, especially on lighter or looser weaves. If the artwork includes small type, a roaster seal, thin lines, or a detailed illustration, ask the supplier for the minimum recommended line thickness and minimum text height on the selected fabric. A PDF proof may look crisp because it is not fighting yarn texture. A strike-off or physical sample on the same cotton base is the real test.

Digital printing can be useful for complex artwork, gradients, or smaller runs where screen setup is inefficient. The results depend on the fabric surface, pretreatment, machine process, and body color. Natural cotton can make colors look warmer or duller than they do on white paper or a backlit screen. If digital print is proposed, sample it on the same GSM, weave, and color planned for bulk.

Heat transfer can produce sharp edges, but it needs extra caution on reusable cotton totes. Transfers may feel less integrated with the fabric and can show stress at folds, abrasion points, or dense crease lines depending on the material and application. Embroidery can create a premium accent on heavier totes, but large embroidery may pucker the panel. For many coffee brands, a small woven label or patch gives a cleaner premium effect than a large stitched logo.

Disputes often start with soft approval language. “Centered,” “good quality,” and “same as sample” sound clear in conversation, but they do not give production teams enough instruction. A stronger approval pack gives numeric tolerances for logo placement, print size, finished body size, handle drop, and carton count. The tolerance should fit the product level. A paid retail tote for a premium roaster may need tighter control than a one-day event giveaway.

For logo placement, many buyers use ±5 mm for higher-control merchandise and ±10 mm for more price-sensitive promotional runs. Supplier capability and artwork size both matter. A small circular logo will make a 10 mm drift more visible than a large loose illustration. Whatever tolerance you choose, write it into the purchase order or signed spec sheet. A dyed tote with two print positions, a woven side label, hangtag, barcode sticker, and individual packing is a different project. If buyers compare only headline MOQ, they may miss why one quote is cheaper or why another is safer.

Break the quote into clear parts: base bag, decoration, trims, packing, sample, and setup. The base bag covers fabric, cutting, sewing, and standard finishing. Decoration covers screen charges, ink, print labor, transfers, embroidery, labels, or patches. Trims include woven labels, care labels, hangtags, strings, stickers, and barcode labels. Coffee programs often split volume across café locations, blend launches, collaborations, or seasonal artwork. A total PO of 2,000 pieces may sound efficient, but if it is divided across four body colors and five artworks, each variant may be too small to hit the best production band. Ask whether MOQ and price breaks apply per total order, per body color, per artwork, per print color, per print location, or per label design.

Request price breaks at quantities your team can realistically use. For example, 300, 500, 1,000, and 2,000 pieces may be more useful than a generic price at 10,000 pieces if your café network cannot absorb that volume. The table will show whether it is worth consolidating SKUs, simplifying artwork, reducing print locations, or increasing a reorder quantity to reach a more efficient band.

7. Use pre-production samples as a retail handling test

A pre-production sample is more than a visual approval. It is the first complete test of the tote as a sellable product. The sample should use the planned bulk fabric, final print method, final thread, final stitching, final handle spec, final label or tag, and proposed packing fold. If anything is substituted, label the sample as provisional and do not treat it as full approval for bulk production.

Start with measurements. Record finished width, height, gusset depth, top hem, handle width, handle drop, logo width, logo height, and placement from the top hem and center line. Compare those numbers with the spec sheet. A sample can look acceptable and still sit outside the agreed target. If you approve that deviation without comment, the supplier may reasonably treat it as acceptable for bulk.

Then handle the tote like a coffee customer or café team would. Put in one or two coffee bags. Add a small accessory if the tote will be sold as a bundle. Hang it on a hook if that is how stores will display it. Fold it as the factory proposes to pack it. Check whether a crease crosses the densest part of the logo, whether handles cover the mark, and whether the artwork is readable at a normal viewing distance.

Lighting matters too. Natural cotton, black ink, warm neutrals, and muted coffee palettes can shift under café lighting compared with daylight. If the exact tone matters, compare the sample against the approved reference and record any accepted variance. Final approval should be documented with annotated photos and a signed spec, not just an email saying “approved.”

Sewing reliability is just as important as print accuracy. Handles take the most stress because customers may carry coffee bags, groceries, laptops, or daily items long after purchase. 10. Write an RFQ that makes supplier comparison fair

Without those details, suppliers fill the gaps with their own assumptions. The cheapest quote may simply be quoting a lower specification.

Ask every supplier to list deviations from the RFQ line by line. If a supplier offers 180 GSM instead of 220 GSM, a smaller print, no woven label, or bulk packing instead of inner bundles, that may still be workable. It just needs to be visible. Hidden substitutions are what cause sampling delays, inspection disputes, and inaccurate landed-cost comparisons.

Separate commercial terms from technical approval. The quote should show unit price, setup charges, sample charges, label charges, packing surcharges, and artwork or screen costs. Incoterms should be clear. EXW, FOB, and landed pricing are not the same cost basis. To compare fairly, keep all bids on the same basis or calculate landed cost internally using one consistent method.

Break down lead time as well. Ask how long sampling takes, when bulk production begins, whether fabric is in stock, whether dyeing or labeling is external, how long final inspection and packing take, and when export booking is arranged.
