Begin with the bookstore job, not the bag
A custom organic cotton tote for a university bookstore has to do a specific job. Sometimes it is a low-cost orientation giveaway. Sometimes it is a paid retail product that sits beside sweatshirts, notebooks, mugs, diploma frames, and graduation gifts. Sometimes it is a practical carrier for course materials. Those uses should not share the same spec by default, even if the finished size looks similar on a quote sheet.
Procurement teams get better quotes when they describe the selling context before asking for fabric options. A tote sold at the register needs enough body to look intentional on a shelf or display hook. A tote used for textbook bundles needs stronger handle attachment and seams. A department giveaway may need lower unit cost, faster production, and clean logo visibility more than premium construction. The supplier cannot balance those tradeoffs well if the RFQ only says organic cotton tote with logo.
Write the first version of the spec in plain operating language. For example: the bag must carry two standard textbooks and a sweatshirt, fit a laptop vertically, use a natural unbleached organic cotton base, and display a one-color bookstore logo clearly from several feet away. That sentence gives the factory more useful direction than a vague request for a nice eco tote. It points to fabric weight, handle style, reinforcement, print method, packing, and inspection priorities.

Convert GSM into practical buying decisions

As a working reference, 6 oz is about 200 GSM, 8 oz is about 270 GSM, 10 oz is about 340 GSM, and 12 oz is about 400 GSM. Because mills round numbers and fabric finishing can change the final hand, the RFQ should state whether the target is finished fabric weight after washing, bleaching, dyeing, or softening.
For many university bookstore retail programs, 8-10 oz, or roughly 270-340 GSM, is the practical center. It gives more structure than a light event tote, handles books and merchandise better, and still folds into cartons without becoming too bulky. A 6-7 oz tote can be perfectly reasonable for orientation or a short campaign, but it may feel thin on a retail wall and can show more transparency under dark prints. A 10-12 oz tote has a more premium presence and better book-carry confidence, but it adds freight volume, carton weight, and sewing sensitivity.
Weight alone can mislead. A tightly woven 8 oz canvas may feel more dependable than a loose 10 oz fabric. A softened finish can make a tote pleasant to touch but less crisp on display. A large print area can make a heavy tote feel stiff. Ask for weave type, fabric hand, shrinkage, finishing process, and a physical swatch. The final written spec should read like a finished product, not a mill shorthand: 10 oz organic cotton canvas, natural unbleached, finished weight tolerance plus or minus 5 percent, firm hand, suitable for bookstore retail display.

They can affect eligible suppliers, processing steps, document availability, lead time, and cost.
Ask where the organic claim is maintained in the production chain. Does it cover cotton sourcing only? Does it extend through spinning and weaving? What about dyeing, printing, sewing, labeling, and packing? If the tote will be sold with an organic claim on the hangtag, the supplier should be able to explain which documents support that claim. If the documentation only supports material purchase, retail copy should not imply full finished-product certification.
Procurement should ask for document names, not general reassurance. Depending on the program, you may need a scope certificate, transaction certificate, supplier declaration, material declaration, or support for finished-product certification. Also ask whether the thread, ink, dye, label, hangtag, and packing materials are included in the certification scope or simply compatible with the buyer's product requirements. This keeps the bookstore, licensing office, and sustainability team aligned before the purchase order is issued.

Choose fabric shade with the artwork in mind

If the bookstore expects a clean white background and receives natural cotton with visible flecks, the problem is usually an incomplete spec, not a production surprise.
Bleached white or prepared-for-print fabric gives cleaner logo edges and brighter color. It is often better for multi-color artwork, small text, official marks, or mascot graphics with tight brand standards. It can also require more processing and tighter shade control. Dyed organic cotton brings school-color merchandising into play, but dark colors need extra checks for crocking and rub resistance. No buyer wants navy or maroon dye transferring onto a sweatshirt, book cover, or customer's hand.
For repeat programs, shade control matters as much as first-order approval. Natural cotton bought in one season may not match the next lot unless the supplier controls mill source and finishing. Dyed school colors can drift if the lab dip, dye lot, or fabric base changes. Keep a signed physical swatch, not only a photo. Digital images are helpful for quick review, but they do not replace a real standard under consistent light.

A heavier cotton body will not compensate for weak sewing at the stress points.
Handle construction should be specified, not assumed. Handle width also changes the customer experience. A narrow handle may be cheaper, but it can dig into the shoulder under load. Define handle drop carefully as either total loop length or drop from the top edge. Then write tolerances into the spec so the factory and inspector measure the same thing.

Avoid vague phrases such as centered on front. Use measurable instructions: centered horizontally within the agreed tolerance and placed a stated distance below the top edge or seam. If official university licensing standards apply, include the required color and logo-use rules in the approval packet.

The lower unit price is not always the better buy if the missing details create receiving labor, rework, or customer complaints.

Record body width, height, gusset depth, handle drop, handle width, print size, print placement, fabric weight, stitch density where relevant, and packed fold size. Photograph handle attachment, seams, labels, hangtags, and carton packing. Before the order is placed, ask for pieces per carton, carton dimensions, gross weight, net weight, and total CBM. Heavy canvas totes can raise carton weight quickly. Bulky folded totes can increase freight cost even when the unit price looks favorable. Reorders deserve their own discipline.
