Buyer checklist before sampling

  1. Approve the canvas tote sample only after fabric weight (cut-and-weigh a 10 cm × 10 cm piece), finished dimensions (width, height, gusset depth, handle length, handle drop), stitch method (lockstitch or chainstitch, stitch density ≥4 per cm), and logo placement (distance from top edge, centered ±0.5 cm) are measured against the written spec sheet.
  2. Keep one signed physical sample at the buyer side and require the factory to keep a matching sealed approval sample (with approval tag, date, and signature) for production and final inspection reference; photograph the sample from front, back, side, inside, and handle attachment.
  3. Review the sample with real salon products inside: two 250 ml shampoo bottles, one 200 ml conditioner, one 150 ml styling spray, one brush, and one gift card; check whether the bag stands upright, handles do not stretch, and logo remains visible.
  4. Compare print color on the actual canvas under neutral light (D65 or natural daylight, 500 lux) using a Pantone color card; do not rely on phone photos or showroom lighting; record acceptable delta E (≤2.0 for critical colors, ≤4.0 for non-critical).
  5. Record acceptable tolerance for finished size (±0.5 cm for retail presentation, ±1.0 cm for giveaways), handle drop (±0.5 cm), logo placement (±0.5 cm), fabric shade (ΔE ≤1.5 between panels), print position (±0.3 cm), carton quantity (±1 piece per carton), and carton gross weight (±5%) before bulk production.
  6. Separate comments into must-fix issues (handle tearing, print misalignment >0.5 cm, fabric weight deviation >5%) and acceptable commercial variation (minor slubs, shade variation within ΔE 1.5) so the factory knows whether a revised sample is required.
  7. Confirm whether the sample is made with bulk fabric or substitute stock fabric; if substitute, require a fabric cutting (1 meter) or bulk fabric swatch (A4 size) before cutting; reject if substitute fabric differs in weight, shade, or texture from bulk.
  8. Test handle strength and seam security with a realistic loaded weight: fill the bag with 2.5 kg (expected product weight plus 20% safety margin), lift by one handle for 30 seconds, check for seam separation, handle stretching, or bartack failure; repeat with both handles.
  9. Check whether packing supports your distribution model: direct-to-warehouse (bulk pack, 50–100 bags per carton, carton marks with PO and SKU), store allocation (individual polybag with barcode label, 10–20 bags per carton), retail resale (individual polybag with hangtag, barcode scanable), event giveaway (bulk pack with paper band, no polybag), or kit assembly (individual polybag with insert card).
  10. Do not approve bulk production from a digital mockup alone when the order includes dyed canvas, tight logo color matching (ΔE ≤2.0), large ink coverage (>50% of bag front), or gusseted construction; require a pre-production sample for any new specification.

Factory quote questions to send

  1. What is the exact fabric specification in oz and GSM, and is that weight measured before or after washing, dyeing, or finishing? Provide the finished fabric weight in GSM with a tolerance of ±5%.
  2. Is the sample made from bulk fabric, available stock fabric, or substitute fabric? If substitute, when will the bulk fabric swatch (A4 size) be available, and what is the lead time for bulk fabric arrival?
  3. What are the finished bag dimensions (width, height, gusset depth, handle width, handle drop) and the size tolerance you will follow in production? Provide tolerance in cm for each dimension.
  4. Which print method is quoted (screen print or heat transfer), how many print colors are included, what is the maximum print area (cm × cm), and what setup charges apply for each salon branch artwork version?
  5. Can you provide a print strike-off on actual canvas (A5 size) before the pre-production sample is approved? What is the cost and lead time for the strike-off?
  6. What MOQ applies to the bag body (pieces), fabric color (pieces per color), print color change (pieces per setup), packaging version (pieces per packing type), and each artwork variant (pieces per design)?
  7. What reinforcement is included at handle attachment points: bartack (number of bartacks per handle end), cross stitch (stitch length in cm), extra patch (fabric patch size in cm), or standard straight stitch only? Provide stitch density (stitches per cm).
  8. What packing method is included in the quote: bulk pack (bags per carton, carton size in cm, gross weight in kg), individual polybag (bag material, thickness in microns, with or without barcode label), paper band (material, width in cm), hangtag (material, size in cm, attachment method), or store allocation carton (carton marks, inner carton quantity)?
  9. What is the sample lead time (calendar days from artwork approval to sample shipment), bulk production lead time (calendar days from sample approval and deposit to ex-factory), and earliest ex-factory date after sample approval and deposit?
  10. Which quality control tests or in-line checks will be performed for fabric weight (cut-and-weigh method, sample size per lot), size tolerance (measurement frequency per 100 pieces), print adhesion (tape test ASTM D3359, cross-hatch method), seam strength (tensile test, load in kg), needle damage (inspection per piece under light), and carton condition (edge crush test, burst strength test)?

Quality-control points to confirm

  1. Fabric weight should be verified by cutting and weighing a known area (10 cm × 10 cm, weigh on precision scale to 0.01 g, multiply by 100 for GSM) from at least 3 random pieces per 1,000 bags; record acceptable GSM tolerance (±5% of target) before production; reject if deviation exceeds 5%.
  2. Finished width, height, gusset, and handle drop should be checked on a flat table after the bag is relaxed (no stretching) for at least 2 hours; measure at 3 points per dimension; tolerance ±0.5 cm for retail presentation, ±1.0 cm for giveaways; record average and range.
  3. Handle attachment must show secure stitch density (≥4 stitches per cm), no skipped stitches, no broken threads, no loose bartacks; reinforcement appropriate for bottled hair care products: bartack at each handle end (minimum 3 bartacks per end) or cross stitch (minimum 2 cm length); reject if bartack is missing or stitch density <3 per cm.
  4.   6.   10. For retail resale, barcode scanability (verify with barcode scanner, GS1-128 or EAN-13 format), hangtag placement (centered on handle or side seam, attached with plastic fastener or string, no damage to bag), individual packing cleanliness (no dust, no oil stains, no loose threads inside polybag), and carton assortment accuracy (correct SKU mix per carton, no mixed artwork versions) should be included in the AQL plan.
