Start With the Receiving Requirement

New tote bags are not normally exposed to pet food residue during manufacturing unless they are later co-packed with pet products, so the practical risk is dust, moisture, crushing, odor from unsuitable packing materials, and artwork damage.

  • Ask your 3PL or retailer for inbound requirements before requesting supplier quotes.
  • Separate factory packing requirements from later co-packing requirements if bags will be filled with pet products after import.
  • Define whether the tote is retail-ready, event-ready, or bulk giveaway stock; each use has a different packing tolerance.
  • Confirm if individual bags need retail labels, suffocation warnings, hangtags, or only master carton labels.
  • Use the receiving manual as the authority when it conflicts with a factory's normal packing method.

Choose Carton Strength by Route and Weight

Carton board grade is one of the most important decisions because canvas totes are dense when stacked. A carton that looks acceptable in the factory can fail after warehouse stacking, LCL consolidation, container vibration, and final delivery handling. For simple lightweight totes, single-wall corrugated board with a stated minimum ECT may be enough. For heavier canvas, large gussets, lined bags, long ocean freight, or less-than-container-load shipping, double-wall board is usually the safer specification.

Do not approve wording such as standard export carton without a measurable requirement. Ask for board construction, ECT value, and a packed-carton test or sample. The supplier may not have a formal lab report for every carton batch, but they should still be able to state the grade they are buying and show that the packed carton does not bulge, collapse, or tear under normal handling.

  • Use single-wall 32 ECT only when the tote is light, carton weight is moderate, and the route has limited handling.
  • Use double-wall 44 ECT when cartons will be stacked high, shipped by LCL, or handled by multiple warehouses.
  • Confirm tape quality as well as board grade; weak tape can fail even when the carton board is adequate.
  • Avoid oversized cartons because empty space reduces stacking strength and allows bags to shift.
  • Add the carton board requirement to the PO, not only to email discussion.

Set a Realistic Carton Size

Carton dimensions must come from the actual folded bag stack, not from a generic formula. A 35x40cm flat tote cannot be packed as 50 pieces in a carton only 5cm high; the stack height of 50 canvas bags, handles, seams, polybags, and interleaf material will be far greater. For a simple flat 10-12oz canvas tote, a realistic 50-piece master carton might be closer to a medium export carton with enough height for the compressed stack, often in the range of several tens of centimeters, depending on fabric weight and folding method.

The right process is simple: approve the folded bag layout, stack the proposed carton quantity with actual packaging materials, compress only as much as normal packing allows, then measure the stack. Add side clearance of about 1-2cm so the bags slide in without scraping, and add enough height tolerance so the carton closes without forcing the top layer. If the print is on the front panel, keep fold lines and pressure points away from the artwork whenever possible.

  • Measure the bag after folding, including handles, gusset, lining, hangtag, and polybag.
  • Record inner carton dimensions, outer carton dimensions, gross weight, and net weight in the packing spec.
  • Reject carton proposals that require heavy compression to close the flaps.

Decide Pieces Per Carton

Master carton quantity affects freight efficiency, warehouse handling, and product appearance. For a basic flat canvas tote, 50 pieces per carton is common, but it is not automatically correct. Heavy 14-16oz canvas, thick handles, bottom gussets, lining, zippers, embroidery, or large print areas may require 25-30 pieces per carton to avoid distortion and excess weight. The best target is a carton that protects the bag and can be handled safely by the receiving warehouse.

Set both piece count and maximum gross weight. If a supplier quotes 50 pieces per carton but the gross weight is too high for your 3PL, the shipment may require repacking on arrival. Conversely, reducing to very low carton quantities can increase carton count and freight volume. Procurement should compare piece count, carton dimensions, total CBM, carton weight, and receiving limits before approving the final pack.

  • Use 50 pcs only for simple flat totes where carton weight and stack height remain reasonable.
  • Use 25-30 pcs for heavy canvas, structured bags, large gussets, hardware, or premium retail presentation.
  • Keep manual-handling cartons near your warehouse limit; many buyers prefer about 15-20kg when possible.
  • Confirm total CBM from the final carton size, not an estimate based on an old tote style.
  • Do not mix different tote sizes in one carton unless the packing list and labels clearly identify the contents.

Protect Prints, Embroidery, and Handles

Pet brands often use high-visibility artwork: breed illustrations, rescue campaign graphics, event logos, or seasonal designs. These details are what the buyer is paying for, so inner packing should prevent scuffing and pressure marks. Individual polybags are the baseline for dust and handling protection. For screen prints, heat transfers, puff prints, foil, or embroidery, add tissue, kraft paper, or another approved interleaf between printed faces so surfaces do not rub during vibration.

Handles are another common damage point. Long shoulder handles can tangle, fold unevenly, or create pressure ridges across the bag body. Ask the factory to fold handles consistently inside the bag profile or secure them with a paper band if needed. If the tote has snaps, zippers, metal rivets, or buckles, those parts should not press directly against printed canvas.

  • Approve a folding photo that shows handle position and print orientation.
  • Use acid-free tissue or kraft interleaf where print faces touch another bag or a polybag surface under pressure.
  • Wrap or isolate metal hardware so it cannot mark adjacent canvas.
  • Check one carton after light handling and inspect the top, middle, and bottom bags for scuffing.
  • For premium retail totes, consider fewer pieces per carton instead of adding excessive layers of packing material.

Specify Polybags Without Overcomplicating

Polybags protect against dust, surface moisture, and warehouse handling. The procurement spec should state material, thickness, seal method, warning text if applicable, and whether the bag must be recyclable, compostable, or compliant with a specific market requirement. Avoid asking only for eco-friendly polybag because suppliers may interpret that differently. If compostability matters, specify the certification or regulation your market requires and confirm shelf-life limitations with the supplier.

Thickness should match the handling need. Very thin bags tear during packing and warehouse picking; unnecessarily heavy bags add plastic and cost. A practical spec for export master-carton packing often uses a durable individual bag with tape or heat seal. For retail sales, the polybag may also need barcode, suffocation warning, country-of-origin information, or ventilation holes, depending on destination rules and channel requirements.

  • Define polybag thickness in microns or millimeters, not just thick or standard.
  • State whether tape seal, resealable flap, or heat seal is required.
  • Confirm required warnings and language for the destination market.
  • Ask whether polybags are individual retail packaging or only transit protection.
  • If using compostable or specialty film, confirm storage conditions and lead time before production.

Use Clear Moisture Logic

Moisture guidance must be consistent. For most canvas tote shipments, the default approach is sealed individual polybags plus desiccant placed inside the master carton. This helps control carton-level humidity without putting a loose packet inside every retail bag. Bag-level desiccant is usually reserved for higher-risk situations: unbleached heavy canvas, long storage before sale, rainy-season packing, unusually humid warehouse conditions, or buyer requirements for premium retail packaging.

Do not rely on a single number without considering carton size, transit time, route, season, and storage. Ask the supplier or forwarder for a desiccant plan based on carton volume and route. The PO should state desiccant type, quantity, placement, and whether cartons must be stored off the floor in a dry area before loading. If container condensation is a known risk for the route, discuss container desiccants or moisture absorbers with the forwarder as a separate container-level control.

  • Default: sealed polybags plus carton-level desiccant specified by carton volume.
  • Use bag-level desiccant only when product risk or buyer policy justifies the added material.
  • Keep desiccant away from direct contact with printed artwork unless it is sealed and approved.
  • Store packed cartons in a dry area, on pallets, away from walls and damp floors.
  • During QC, check that moisture instructions are followed consistently across cartons.

Get Palletization Right

Pallet requirements should be confirmed before production because pallet footprint changes carton layout and freight efficiency. Euro pallet normally means 1200x800mm. A 1200x1000mm pallet is commonly treated as an industrial or ISO-style pallet, depending on market and warehouse. North American distribution often uses 48x40in GMA pallets. Your buyer manual or freight forwarder should decide the correct footprint, not the factory's habit.

For LCL shipments, palletization is often worth specifying because cartons may be handled many times before final delivery. The pallet should have no carton overhang, stable layer patterns, corner boards where straps contact cartons, stretch wrap, and a pallet label. Pallet height should reflect the receiving limit; sea freight may allow taller pallets than air freight, but very tall stacks can crush bottom cartons or fail warehouse handling rules.

  • Confirm pallet footprint: 1200x800mm Euro, 1200x1000mm industrial, 48x40in GMA, or buyer-specific size.
  • Ask for cartons per layer, layer count, total pallet height, and total pallet gross weight.
  • Require no overhang unless your forwarder and warehouse approve it in writing.

Make Labels Warehouse-Friendly

Carton labels are procurement controls, not decoration. A warehouse team should be able to identify the carton without opening it. At minimum, the label should show buyer name, PO number, SKU or style code, color, size if relevant, quantity, carton number, total carton count, gross weight, net weight, carton dimensions, country of origin if required, and destination details. If the warehouse uses barcode receiving, the barcode must be tested before packing the order.

Place labels on two adjacent sides so one remains visible after stacking. Mixed-SKU cartons need extra discipline: list every SKU and quantity, or avoid mixed cartons entirely if the 3PL charges for sorting. Pet brands with multiple artwork versions should use short, unambiguous style codes because similar print names can easily be confused during receiving.

Build QC Into the Packing Stage

Packing QC should happen when the first cartons are being packed, not after the full order is sealed. The inspector or factory QC team should open the first carton, check piece count, folding method, polybag seal, interleaf use, label data, carton dimensions, and carton weight. If the first carton fails, the line can correct the method before dozens or hundreds of cartons repeat the same mistake.

A simple inspection plan is often enough. Check the first carton from each SKU, then sample sealed cartons during the run. For higher-value retail orders, add a handling simulation: lift and turn the carton, set it down on each face, inspect tape, check for bulging, then open and inspect top, middle, and bottom bags. Keep photo evidence because packing disputes are difficult to resolve after shipment arrives.
