Start with the fulfillment route, not the carton

Before comparing prices, map the route. Will all bags ship to one winery warehouse, or will cartons be split across tasting rooms? Will a third-party fulfillment center count every unit? Will the bag be sold as merchandise, handed out at an event, or packed into a premium club shipment? The answers decide how much inner protection, carton strength, labeling detail, and count control you need.

None of those options is automatically best; the right choice depends on intended load, brand position, and freight sensitivity.

Ask the supplier to state both oz and GSM, and ask when the GSM is measured. Raw fabric, dyed fabric, washed fabric, and finished fabric can measure and feel different. If color is important, tie the fabric to an approved swatch, Pantone reference where relevant, or lab dip approval. Natural canvas also varies, so buyers should decide whether small shade variation is acceptable or whether the program needs tighter shade control.

Write tolerances before sampling. A practical starting point for sewn canvas is +/-1 cm for body width and height, +/-0.5 cm for gusset depth, +/-1.5 cm for strap length, and +/-0.5 cm for logo placement. If the bag must fit a mailer, insert, shelf, or club assembly fixture, call out the functional dimensions and the pass/fail range.

Specify construction where bags actually fail

Procurement teams often spend time on fabric weight and logo size, then leave sewing details vague. That is risky for messenger bags because the strap pulls against side seams and stress points. If the bag carries club materials, small accessories, or tasting-room purchases, the load is not just decorative.

Ask the factory to identify the load-bearing areas: strap ends, side seams, flap attachment, handle points if present, pocket corners, and closure points. The quote should state stitch density, seam allowance, bartack quantity, bartack position, and whether reinforcement tape, extra fabric, or webbing is used. These details do not need to be complicated, but they should be visible.

A visual pass is not enough. A strap can sit straight in a product photo while the seam underneath is weak. For a practical QC check, define a hanging-load or pull check aligned to intended use. If the bag is only for flat paper inserts, the test can be modest. If it may hold bottles, glassware, or heavier merchandise, the buyer should set a stronger requirement and confirm whether the construction is designed for it.

Closures deserve the same attention. Magnetic snaps must align. Zippers must run smoothly. Buckles and adjusters should not have sharp edges. Any metal or hard plastic part can mark the canvas when cartons are stacked. If hardware is included, the packing instruction should show how the hardware is protected and where it sits after folding.

Choose inner packing by risk and presentation

It reduces material and speeds unpacking. It also gives the least protection from dust, abrasion, and inconsistent presentation.

Tissue wrap is often the useful middle ground. A tissue sheet between printed panels can reduce scuffing and soften pressure marks. Tissue under a flap can help keep the front panel cleaner after unpacking. Tissue is also useful for darker canvas, pigment-dyed surfaces, screen prints, and bags with front patches or labels. The buyer should specify where the tissue goes, not just say "with tissue."

Individual polybags add cost and material, but they improve cleanliness and count control. They make sense when cartons will be stored, split across locations, opened by multiple teams, or assembled later by a fulfillment partner. If polybags are used, specify size, thickness if required, sealing method, venting if used, and any warning language required by the destination market.

Interleaving may be needed for hardware. Zipper pulls, buckles, magnetic snaps, and strap adjusters can press into the next bag when stacked. If every bag is packed in the same direction, the same pressure point repeats through the carton. Alternating direction, adding tissue over hardware, or placing a divider after a set number of units can prevent avoidable marks.

  • Use tissue when prints, flaps, dark colors, or premium presentation matter.
  • Use polybags when cleanliness, count control, storage, or redistribution is part of the route.

Write the fold sequence like a production instruction

Fold sequence is easy to overlook because it feels operational, not strategic. In bulk production, it is both. A fold through the winery logo can create a permanent crease. A loose strap can tangle during unpacking. A flap folded differently by each operator can make a carton look uneven even when the bag itself is within spec.

The instruction should say which side faces out, whether the flap is open or closed, how the gusset is flattened, where the strap is placed, whether the strap is rolled or laid flat, and where tissue or polybagging is applied. If the logo cannot avoid a fold line because of bag shape or carton limits, approve that risk during sampling rather than discovering it after shipment.

Measure the folded unit. Record length, width, height, and the height of a 10-unit stack. Soft goods compress, so a single folded bag does not tell the whole story. A stack measurement helps the factory choose a carton that is not too loose and not over-compressed. It also gives logistics a better carton estimate before the order is packed.

Photos are part of the control file. Ask for images of the approved fold from the front, back, side, and loaded carton view. The production floor and final inspector can then compare actual packing to the approved method. This is much clearer than a sentence buried in an email.

Carton strength should match weight, handling, and transit. A strong single-wall carton may be adequate for lighter packs and short routes. Product QC and packing QC should happen together.

If using AQL, define inspection level and defect classes before production. A broken strap seam is not the same as a loose thread.

Measure sample cartons for outer dimensions and gross weight. If mixed colors or artwork versions are allowed in one carton, the label must state the mix.
